This Privacy Policy explains what personal data Pole & Aerial Sports TV ("we", "us") collects when you use this website, why we collect it, how it is stored and shared, and what rights you have over it. By creating an account, an athlete profile, or registering for an event, you confirm you have read and accepted this policy and our Terms of Use.
1. Data controller
Pole & Aerial Sports TV is the data controller for the personal data processed through this website. For any privacy-related question, you can reach us at info@poleaerialsports.tv.
2. What data we collect
Depending on how you use the site, we may collect:
- Account data — username, first and last name, email address, phone number, country, password (stored as a salted hash).
- Athlete profile data — first and last name, date of birth, gender, nationality, country of residence, profile photo and banner image, biography, social media handles (Instagram, Facebook, TikTok, YouTube), website, contact email and phone.
- Registration data — events you register for, the athletes listed, sport, division, studio, coach, chaperon information, notes, payment status and amounts.
- License records — issuing organisation, license year, the registration that triggered issuance.
- Consent records — when you accept this policy via a checkbox, we store the date, your IP address, your browser's User-Agent string and the version of the policy you accepted, as evidence of consent.
- Technical data — server access logs and basic visitor analytics (Google Analytics).
3. Why we collect it (legal basis)
- Performance of a contract — to register you for events, manage your participation and process payments.
- Legitimate interests — to display athlete profiles, results and rankings on the site, which is the core purpose of the platform.
- Consent — for the storage of your acceptance of this policy and for any optional features you opt into.
- Legal obligation — for accounting and tax record-keeping where applicable.
4. Who we share it with
We share the minimum amount of personal data needed with:
- The federation or organisation that issues your license (when you take a licensed registration).
- The event organiser, for the events you register for.
- Our payment processor (zahls.ch) to handle registration payments.
- Our infrastructure providers (hosting, cloud storage) under appropriate confidentiality terms.
- Public visitors of this site — athlete profiles, results and registration listings are public by design.
We do not sell personal data to third parties.
5. How long we keep it
Account, athlete and registration data are kept as long as the account is active or the data is needed to display historical results. Consent records are kept for the same duration as the data they refer to. Accounting records are kept for the legally required retention period. You may request deletion at any time (see section 7).
6. Cookies and analytics
The site uses session cookies for authentication and Google Analytics to understand how the site is used. You can block these via your browser settings or an ad-blocker without losing access to the main features.
7. Your rights
Under the GDPR (and similar laws), you have the right to:
- access the personal data we hold about you,
- request correction of inaccurate data,
- request deletion of your data ("right to be forgotten"), subject to legal retention obligations,
- request a portable copy of your data,
- object to or restrict processing,
- withdraw a previously given consent at any time.

8. Event registration commitments
When you register for an event through this site, you also accept the following commitments and waivers, which apply to your participation in that event:
- Payment — You undertake to pay the applicable license and registration fees for the relevant year.
- Personal insurance — You confirm that you hold personal insurance covering injury during your participation. The organisers do not provide individual injury cover.
- Image rights — You assign your image rights for all video and photographic captures made during the event, on the condition that the images are not used for commercial purposes other than the objectives of the Swiss Pole Sport Federation (SPSF). Video image rights may be bought back by the athlete for their personal use; this buyback also entitles the athlete to request removal of the related video from the platform.
These commitments are captured together with your consent at the time of registration (see section 2 — Consent records).
9. Changes to this policy
If we materially change this policy, we will publish a new version with a higher version number. Each consent we record stores the version that was accepted, so we can always tell which version a given subject agreed to. You will be asked to accept the new version the next time you create new content on the site.
